Receivables management

Receivables management organises the creation, monitoring, handling and settlement of claims. It includes operational rules for invoice data, incoming payments, communication, objections and decisions about further action.

Engagement and acceptance are governed by the terms.

Distinguish the concepts

Collection is one possible part of this process. It does not automatically replace invoicing, bookkeeping, complaint resolution or internal approval of a claim. Factoring serves a different purpose through purchase of receivables. Clear responsibilities help prevent parallel balances or conflicting communications.

Jurisdiction and scope

Businesses with customers in Austria and Germany need consistent records alongside country-specific rules for maturity, default and court procedures. Personal data should be appropriate to the purpose and kept accurate. Those providing data therefore check both factual correctness and what is necessary for the case.

Illustrative business example

Accounts, sales and a collection provider handle the same invoice. Sales knows about a complaint; accounts has received a partial payment. Both facts are reconciled before handover. Responsibilities are then assigned for reporting direct payments, answering questions and approving additional court costs. An interface transfers data; it does not automatically make those organisational decisions.

Which metrics are useful?

Ageing, overdue balances and traceable receipts answer different questions. Define the time period and population clearly.

Does a closed case mean success?

The closing reason and payment data establish the result. Discontinuation, dispute and full payment are different outcomes.
